At The Nourishment Hub, we are committed to protecting your privacy and handling your personal information in an open and transparent way.

This Privacy Policy explains how we collect, use, disclose, store and protect your personal information, including health information, in connection with our website, dietetic services, telehealth consultations, programs, and email communications.

We manage personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

The Nourishment Hub provides nutrition and dietetic services, including 1:1 consultations and structured programs such as Momentum.

2. What information we collect

We may collect personal information and, where relevant, sensitive information such as health information.

  • health and medical information relevant to the services we provide

  • dietary intake, goals, preferences and lifestyle information

  • program-related information such as health questionnaires, check-ins, body metrics, messages, progress data, and coaching records

  • information provided when subscribing to our newsletter, calorie calculator, or other lead forms

If you choose not to provide certain information, we may not be able to provide some or all of our services to you.

3. How we collect your information

We collect personal information in a number of ways, including when you:

  • book an appointment through HealthBank

  • complete intake forms, questionnaires, or provide information during consultations

  • attend phone or telehealth consultations

  • submit an enquiry through a Squarespace website form

  • contact us directly by email through Gmail

  • subscribe to our newsletter or use tools such as our calorie calculator

  • join or participate in the Momentum Program

  • make payments for services or programs

  • interact with our website, including through cookies and analytics tools such as Google Analytics

We generally collect information directly from you. In some cases, we may collect information from third parties where you have authorised this or where it is reasonably necessary to provide services, such as from your GP, specialist, referrer, or another health professional.

4. Why we collect and use your information

We collect, hold, use and disclose personal information for purposes including:

  • providing dietetic, nutrition, coaching, and program services

  • assessing your suitability for services or programs

  • managing appointments, bookings, rescheduling, and follow-up

  • communicating with you about your care or participation in a program

  • maintaining clinical records

  • providing telehealth consultations

  • processing payments

  • sending you requested resources or information

  • sending newsletters, welcome emails, and marketing communications where you have subscribed or consented

  • improving our website, services, and user experience

  • complying with legal, regulatory, and professional obligations

We will only use your sensitive information, including health information, where reasonably necessary to provide our services, where you consent, or where otherwise permitted or required by law.

We may collect information in different contexts, including:

Client and program information

If you engage with us as a client or participant in a program, we may collect personal and health information needed to deliver services safely and effectively.

Subscriber and marketing information

If you sign up to our newsletter, calorie calculator, or another lead form, we may collect your contact details and any information you voluntarily provide so we can send you the requested content, automated welcome emails, and ongoing monthly newsletters.

Not everyone who subscribes to our emails becomes a client, and not every client is subscribed to marketing emails.

6. Marketing communications

If you voluntarily subscribe through our website, calorie calculator, or other sign-up forms, we may send you:

  • a welcome email

  • monthly newsletters

  • nutrition, exercise, and research-based content

  • occasional information about our services and programs

These communications are managed through MailerLite.

You can unsubscribe at any time by clicking the unsubscribe link in the email or by contacting us directly.

We do not currently tailor newsletter content based on health questionnaire responses or calculator data. Subscribers currently receive the same welcome email and monthly newsletter stream.

7. Telehealth and communication

We may provide services by phone or telehealth.

Telehealth consultations and calls are managed through HealthBank. We do not record calls or telehealth sessions. We may, however, create and store consultation notes as part of your clinical record.

You should be aware that while we take reasonable steps to protect your information, electronic communications and telehealth services carry some inherent privacy and security risks.

8. Third-party platforms and service providers

We use trusted third-party providers to help us operate our business and deliver services. Depending on how you interact with us, your information may be collected, stored, used, or processed through the following providers:

  • HealthBank for appointment bookings, client records, telehealth, calls, and payments for standard services

  • Squarespace for website hosting and website forms

  • Google / Gmail for receiving website form submissions and direct email communications

  • MailerLite for newsletter subscriptions, welcome emails, and ongoing email communications

  • Everfit for delivery of the Momentum Program, including questionnaires, check-ins, body metrics, messages, and program data

  • Stripe, via Everfit, for Momentum-related payment processing

  • Google Analytics for website analytics and traffic insights

We may also disclose your personal information to other parties where required or authorised, including:

  • your GP, referrer, specialist, or another health professional, where you have consented or where reasonably necessary for your care

  • legal, regulatory, or government bodies where required by law

  • professional advisers, contractors, or service providers who assist us in operating our business

We take reasonable steps to ensure third-party providers handle personal information appropriately, but their own privacy policies and terms will also apply.

9. Overseas disclosure

We take reasonable steps to store and manage information securely.

Some of the third-party service providers we use may store or process personal information outside Australia. This may occur through website services, email marketing platforms, cloud-based software, program delivery tools, or payment processors.

Where personal information is disclosed overseas, we take reasonable steps to ensure it is handled in a manner consistent with Australian privacy obligations. However, overseas recipients may be subject to different privacy laws.

HealthBank states that patient records are stored on Australian servers, but this may not apply to all other providers we use.

10. Website analytics, cookies, and forms

Our website may use cookies and similar technologies to collect information about how visitors use the site. This may include information such as:

  • browser type

  • device information

  • pages visited

  • time spent on pages

  • referring websites

  • general location data

  • interactions with forms or website content

We use Google Analytics to better understand website traffic and improve our website and services.

If you complete a form on our website, the information you submit may be transmitted through Squarespace and sent to us via Gmail.

You can usually modify your browser settings to manage cookies, although doing so may affect website functionality.

We take reasonable steps to protect the personal information we hold from misuse, interference, loss, unauthorised access, modification, or disclosure.

These steps may include:

  • use of secure software platforms

  • password protection

  • restricted access to information

  • secure cloud-based systems

  • use of providers with privacy and security controls appropriate to health and business data

HealthBank states that patient information, files and notes are stored using encrypted Australian servers.

We retain records for as long as required by law and professional obligations. Where information is no longer required, we will take reasonable steps to destroy or de-identify it where appropriate.

You may request access to the personal information we hold about you, and you may ask us to correct information that is inaccurate, out of date, incomplete, irrelevant, or misleading.

In some circumstances, we may decline a request where permitted by law, but if so, we will explain the reason.
